Introduction
A webhook allows you to send real-time data from one system to another when a specific event occurs. It works by triggering an HTTP request to a predefined URL whenever the event happens.
For example, when a form is submitted on your website or lead form, a webhook can send the form data (e.g., name, email, phone number) directly to SalesExec. This eliminates the need for manual data transfers or frequent polling for updates.
Step 1: Generate Posting Instructions in SalesExec
Before moving forward with your form integration, you need to generate your posting instructions from within your SalesExec account.
How to Generate Posting Instructions
Navigate to: More > Settings > Channel, Lead Sources, and Campaigns.
Locate the Generate Posting Instructions button in the top-right corner of the screen.
In the pop-up window:
Select at least the Record Type and Lead Source.
Selecting Marketing Channels and Campaigns is optional but recommended to help target distributions and improve assignment efficiency.
Step 2: Log Into Zapier and Create a New Zap
Log into your Zapier account.
Click the Create Zap button to start a new automation. This Zap will bridge your form submissions with SalesExec.
In the Trigger section, select the method you want to use for routing leads into SalesExec.
For example, choose Google Forms if you want form submissions to automatically create leads.
Follow the Setup steps and make sure to select the correct form.
Step 3: Configure the SalesExec Webhook Node
Before proceeding, make sure you have your SalesExec Posting Instructions handy.
How to Configure the Webhook
In Zapier, click on the Action node.
From the menu, search for or select Webhooks.
In the Action Event dropdown, select POST and click Continue.
From your SalesExec Posting Instructions, copy the Lead Receiver URL Endpoint and paste it into the URL field in Zapier.
Set Payload Type to Form.
Make sure each field matches the exact name in your SalesExec Posting Instructions.
To the right, click the + symbol and select the matching form field.
Map the Critical Routing Fields First
LID (Record Type ID)
VID (Lead Source Identifier)
CID (Campaign ID)
MCID (Marketing Channel ID)
These fields are essential. If any are missing or incorrect, the lead will not be routed correctly in SalesExec.
βNote: These fields are static and must be copied and pasted exactly from your SalesExec Posting Instructions.
Map All Other Lead Fields
Add all other lead fields you want to submit.
Make sure each field matches the exact name in your SalesExec Posting Instructions.
Input the Data Name in the corresponding field.
To the right, click the + symbol and select the matching form field.
For example, match First Name to FirstName.
Repeat this process for all required lead fields.
Once all fields are mapped and verified, click Continue to publish your webhook configuration.
Best Practices
Always double-check that LID, VID, CID, and MCID are correctly mapped, these are required for proper lead routing.
Keep the field names exactly as listed in your SalesExec Posting Instructions to prevent errors.
Test your Zap with a sample submission to ensure leads are correctly received in SalesExec before going live.
Document your webhook setup for future reference or troubleshooting.
Review form submissions periodically to verify that all required fields are consistently populated and routed.
Conclusion
By following these steps, you can successfully integrate your form submissions with SalesExec using webhooks, enabling automatic lead capture and reducing manual data entry. Proper configuration of the critical routing fields and careful mapping of lead fields ensures that leads flow seamlessly into your SalesExec account, helping your team maintain efficiency and accuracy in lead management.
