How to Export Leads from SalesExec

Export selected leads or an entire list to an Excel file from the Lead Manager Screen for use in external reporting or third-party applications.

Overview

The Export Utility allows you to download lead data from the Lead Manager Screen into an Excel file. You can export a specific selection of leads, all leads from a single workflow, or a filtered subset. This is essential for offline analysis, data backup, or integrating information into other business systems.

Key Functionalities

  • Flexible Export Selection: Choose to export Selected Records or All Records within the current view.

  • Workflow-Specific Exports: Exports are limited to leads within one workflow at a time (e.g., Leads, Sold, or Dead).

  • Integrated Filtering: Use filters and date ranges to narrow down the exact set of leads you wish to export.

  • Browser-Based Download: The exported Excel file is generated and downloaded directly to your browser.

How to Export Leads

Step 1: Access the Export Option

  1. Navigate to My Leads in the Lead Manager Screen.

  2. Locate the Export icon in the column header above the list of leads.

Step 2: Export a Specific Selection of Leads

  1. Select the desired leads:

    • Click a lead to highlight it, then hold the Shift key and click another lead to select a range.

    • Individual selections can also be made.

  2. Click the Export icon.

  3. Select Selected Records from the menu.

  4. The Excel file will generate and download.

Step 3: Export All Leads in the Current Workflow

  1. Ensure you are in the correct workflow tab (e.g., Leads, Sold, Dead).

  2. Click the Export icon.

  3. Select All Records from the menu.

  4. The system will export all leads visible in the current workflow and date range.

Step 4: Use Filters to Refine Your Export (Optional)

  1. Use the Filter options or the Date Range selector to display only the leads you want to export.

  2. Once the list is filtered, follow the steps above to export either the Selected Records or All Records.

Best Practices

  • Check your date range first: Use the 'From' and 'To' selectors to limit exports to relevant time periods and manage file size.

  • Filter before exporting: Apply filters (by status, source, etc.) to ensure your export contains only the necessary data.

  • Export by workflow: Remember that exports are limited to one workflow at a time. Repeat the process for each workflow (Leads, Sold, Dead) if a complete dataset is needed.

  • Be mindful of system limits: To avoid browser errors, avoid exporting more than 5,000-6,000 leads in a single operation. Use date ranges to break large exports into smaller batches.

  • Locate your file: After clicking export, check the bottom-left corner of your browser window for the download.

Troubleshooting

  • Browser produces an error during export
    You are likely attempting to export more than 5,000-6,000 records. Solution: Narrow the export range using the 'From' and 'To' date selectors and try again.

  • Exported file is missing expected leads
    Confirm you are in the correct workflow tab before exporting. Each workflow (Leads, Sold, Dead) must be exported separately.
    Verify your date range and any applied filters include the leads you need.

  • The 'Export' icon is not visible or clickable
    Ensure you have navigated to My Leads and have the necessary permissions to export data.

  • File did not download
    Check your browser's download folder or download history. Some browsers require permission to download multiple files.
    Ensure no pop-up blockers are preventing the download window from opening.

  • Need to export leads from multiple workflows
    You must perform a separate export operation for each workflow status. There is no single "export all" function across all workflows.
