Overview
The Quick Search feature allows you to quickly find lead records across all Record Types. It performs a weighted, dynamic search across most lead fields to help you locate the information you need efficiently.
Key Functionalities
Quick Search: A universal search bar that looks through key fields like name, phone, email, and address across your leads.
All Leads View: A specialized view with advanced filters for searching through all leads in the system, including aged records.
Search Limits: Quick Search scans approximately the most recent 1 million records by default. The "All Leads" view provides access to older records.
How to Search for Leads
Using Quick Search
Navigate to the My Leads section.
Locate the "Quick Search Leads..." bar at the top of the Lead Manager Screen.
Enter your search term (e.g., a name, phone number, email address, or street name).
The results will display immediately, showing all matching leads ordered by the most recently updated.
Using the All Leads View for Advanced Searching
For more advanced searches, especially when looking for older leads beyond the default 1 million record scope:
Click the All Leads button in the Lead Manager Screen. (Note: This is a permission-based feature depending on access levels within a certain User Role).
Toggle the Show All Leads switch to enable the view.
Use the From and To date selectors to define the date range you want to search within.
Use the search box that appears below the date fields to enter your search terms. This will search all leads within the selected date range, including the ones in the Holding Bin.
Understanding the All Leads Filters
When the "Show All Leads" view is active, you can use additional toggle filters to refine your results:
Hide Invalid: Excludes rejected leads from the results.
Hide Valid: Shows only rejected or returned leads.
Hide Returned: Excludes returned leads from the results.
Hide Accepted: Excludes accepted leads from the results.
View Rejected Duplicates: Navigates to a separate page to review leads rejected by the system's duplicate check.
Best Practices
Start with Quick Search: For finding recent or active leads, always start with the main Quick Search bar as it is the fastest method.
Use Specific Terms: When possible, use unique identifiers like a full phone number or email address for precise results.
Leverage Date Ranges: If you can't find a lead with Quick Search, use the "All Leads" view with a broad date range to locate older records.
Combine Filters: In the "All Leads" view, combine date ranges with the status toggles (Hide Invalid, etc.) to narrow down your search effectively.
Troubleshooting
A lead I know exists is not appearing in Quick Search results.
The lead may be outside the default 1 million record search scope. Use the "All Leads" view with an appropriate date range to find it.The "All Leads" button is missing.
This is a permission-based feature. Contact your system administrator to request access to the "All Leads" view.I need to search more than 1 million records regularly.
